CASE STUDY: Go Bus uses industry-leading tech to improve processes

As one of New Zealand’s fastest growing passenger transport businesses, Go Bus were in a pickle.

Their commitment to expansion meant that as the business and number of staff continued to expand rapidly (over 30 depots across the country and more than 1,850 staff), so too did the pressure on administrative staff to support the business.

Just two people were responsible for all Go Bus Accounts Payable (AP) in 2013 when Go Bus first started looking at a better way of doing things.

This meant there was no truly reliable way to track outstanding invoices, invoices were lost, often they were not actioned on time, and a significant amount of time was spent chasing approval from individual branches.

Faced with the decision of either increasing the size of their AP team or taking the long view and using industry-leading technology to improve processes, Go Bus chief financial officer, Reegan Pearce elected for the latter.

“The Fuji Xerox solution gives us complete confidence that as we add more branches, depots and staff, we’re well equipped to handle the accompanying administrative load," says Reegan.

To meet the Go Bus business objectives, Fuji Xerox combined a document capture solution with the powerful work-flow functionality of Fuji Xerox DocuShare - their web-based content management and collaboration platform. This automated solution streamlined the Go Bus AP processes, all without adding further administrative overhead.

“With our AP process now streamlined and achieving a straight-through processing rate of over 50% we’re keen and ready to maximise the capabilities of DocuShare across our other business processes,” Reegan concludes.
